Overview

Under the direction of the President/CEO, the Executive Assistant provides high-level administrative support to executive leadership while exercising discretion, judgment, and confidentiality. This role supports organizational efficiency across Administration, Human Resources, and Membership through accurate information management, coordination, and processing.


This position provides administrative HR support aligned with YESS HR workflows and Praesidium accreditation.

Responsibilities

Executive and Organizational Support

  • Manage calendars, meetings, travel, and executive communications.
  • Prepare correspondence, reports, presentations, and meeting materials.
  • Serve as liaison between leadership, staff, board members, and partners.
  • Maintain board, committee, and organizational records.

Human Resources – Administrative Support

  • Maintain accurate employee records in compliance with YMCA, legal, and Praesidium standards.
  • Coordinate onboarding and offboarding including documentation, system access,
    background check coordination, and exit processing.
  • Assist departments with administrative aspects of recruiting including postings, interview scheduling, and applicant tracking.

Membership & Program Support

  • Provide administrative support to the Membership Department including data entry, reporting, documentation, and process coordination.
  • Assist with membership-related communications, records, and internal requests as
    needed.
  • Support cross-department collaboration to enhance member and staff experience.

General Administration

  • Perform routine administrative duties including filing, scanning, data entry, and mail distribution.
  • Support staff events, trainings, and organizational initiatives.
  • Ensure data integrity, confidentiality, and compliance with YMCA policies.
  • Perform other related duties as assigned.

Qualifications

  • Minimum two years of administrative or business office experience.
  • Proficiency in Microsoft Office and ability to learn YMCA systems (HRIS, DAXKO).
  • Strong organizational skills, attention to detail, and confidentiality.
  • Effective written and verbal communication skills.

CERTIFICATIONS & TRAINING

  • CPR/First Aid within 60 days of hire.
  • Completion of required YMCA compliance training.

Posted Salary Range

USD $37,000.00 - USD $39,000.00 /Yr.
